To schedule an appointment, please call 410-531-7557 or submit a request through our patient portal.
 
If you are unable to keep your appointment, we kindly ask that you notify us at least 24 hours in advance so that we may assist you with rescheduling for a more convenient time.

Missed appointments or cancellations made with less than 24 hours’ notice may be subject to a $35 fee.
 
We ask new patients to arrive 20 minutes prior to their scheduled appointment if all forms are completed.

Established patients are asked to arrive 15 minutes prior to their scheduled appointment.

Requesting Your Medical Record

At Capital Women’s Care (“CWC”), your privacy is very important to us. We protect your medical information as required by federal law (HIPAA) and Maryland state law. We can only share your medical records when you give us written permission, unless the law allows us to release them without authorization.

What Counts as Your Medical Record?

Your medical record includes information created by your CWC provider, such as:
 
 
  • Office visit notes
  • Test results
  • Imaging reports
  • Treatment plans
  • Any other information about your care

 

Records From Other Doctors

If another doctor or facility sent records to us, we cannot make copies of those for you. You will need to request those copies directly from the original provider.

 

How Long Does It Take?

Maryland law requires us to provide your records:
 

📌 Within 21 working days after we receive a completed request form. We do our best to complete requests sooner when possible.

 

Electronic Records

If your records are stored electronically, we will provide them:
 
  • In the electronic format you request, if possible
  • Or in another electronic format that is easy for you to access

 

Fees

Maryland and HIPAA rules limit what we can charge. For electronic copies, we may charge:
 
  • A small labor-based fee or a flat fee (no more than $6.50)
  • Postage or the cost of a CD/USB if needed
 
Paper copies may be charged at rates allowed by Maryland law. If you have questions about fees, please contact our office.

Insurance Coverage

We accept most insurance plans. Please call us to verify whether or not we accept a particular insurance company’s coverage.

Capital Women’s Care’s contract with UnitedHealthcare terminated August 1, 2025. Despite repeated efforts to negotiate an equitable solution, we have been unsuccessful. Capital Women’s Care remains open to working with UnitedHealthcare and is hopeful we will find resolution at a future date. Please call either the number on the back of your member card or 1-866-801-4409 to voice your concerns about Capital Women’s Care’s termination from the UHC network. Let UHC know that you value your provider and would like your provider to remain in network!
 
We have a personal interest in your health and well-being. If you are pregnant or undergoing a course of treatment, there are continuity of care options to allow you to continue seeing your provider. Don’t hesitate to contact your provider’s office if you have questions about continuity of care or other insurance plans we accept as in-network providers. We Respect Your Privacy

You will receive notification via your personal email account when there is important information awaiting you in your Patient Portal account. If you choose to use the Patient Portal, your name and email address will be treated with the same care and privacy given to your medical records.

How to Register for Capital Women’s Care’s Patient Portal

Who Can Sign Up?

Patients (over 18 years old) and their legal guardians can sign up for Patient Portal in accordance to the Terms and Conditions of the website. 

New Patients and Established Patients who do not have an email address in the system currently

New patients will be asked at the time of your first visit (and established patients at your next visit) if you would like to register for the portal. An email address will then be entered into our system and a username and temporary password will be assigned by the software. You will also get instructions on how to navigate to the site. After approximately 30 minutes you will be able to go online and register for the Patient Portal and we encourage you to change your password at that time.

Established Patients who have an email address in the system already

Approximately 7-10 days before your first appointment that follows April 1, 2016, you will receive an email notifying you that a copy of your Personal Health Record has been sent to your account at NextMD.com. You will not, however, be able to register until you get your user name and temporary password which you will receive when you arrive for your visit. You will also get instructions on how to navigate to the site. We encourage you to change your password when you register on the site.
